Employment Location:   Coeur d’Alene, ID (or Spokane) – this is an in-office position (NOT REMOTE!)

The employer is seeking a full-time Executive Assistant to support the company’s CEO. This role requires working in person at their office in Hayden, Idaho. The ideal candidate will provide high-level executive administrative support and handle a wide range of responsibilities with professionalism, confidentiality, and excellent organizational skills.

Required experience is as follows:

  • Min. of 3 years prior experience as an Executive Assistant to a C-level company officer
  • Expense reports, including Amex receipt gathering and reporting to accounting
  • Travel itinerary management, including airline, hotel, gym locations
  • Weekly and next-day itinerary preparation and meeting review
  • Printing spreadsheets, collecting notes and comments
  • Completing documents, such as Asad’s roll-up form
  • Calendar management, including scheduling appointments
  • Organizing meetings, scheduling, and sending reminders
  • Sorting read emails and categorizing them
  • Logging emails in Salesforce under the relevant Opportunity, Lead, or Account
  • Updating CEO’s Salesforce leads and opportunities
  • Weekly review of Salesforce opportunities and leads for the company
  • Creating presentations in Excel and PowerPoint
  • Visa applications for international travel
  • Ensuring documents are valid or renewed (passports, crew cards, visas, etc.)
  • Providing executive administrative assistance and support
  • Managing expense reports
  • Strong communication skills
  • Administrative assistance expertise
  • Excellent organizational and time-management skills
  • Proficiency in MS Office and other relevant software
  • Experience in the aviation industry (preferred)
